How to choose a travel agency and compare proposals

To choose a travel agency, start with the problem you need help solving: a complex itinerary, a family stay, assistance during travel or an activity with specific requirements. A “best agencies” list is of little use without explaining how services were compared.

Correction: the earlier version ranked Viajes Alfa, MundoViajes and Aventuras Extremas as the best agencies of 2023 without sources or a verifiable method. That ranking and its claims about luxury, sustainability and safety have been withdrawn. Those names are not verified recommendations in this guide.

Give each agency the same brief

Prepare possible dates, departure point, destinations, traveller numbers, total budget and priorities. Include access needs, preferred pace and luggage requirements. Do not send unnecessary personal documents merely to obtain an initial proposal.

For example, “seven nights, no more than two cities and a free afternoon between visits” makes comparison easier than “an unforgettable trip”. State which preferences are essential and which can change.

Compare the services behind the price

Included transport, schedules and baggage.
Specific accommodation, location, category and meal plan.
Transfers, excursions, admission and optional activities.
Excluded costs, taxes and applicable supplements.
Assistance during the trip and a contact route for problems.

If quotes differ, ask which service changes. A lower price may mean different accommodation, less assistance or activities outside the package. It is not automatically an equivalent discount.

Identify the contract and responsible parties

The Community of Madrid recommends establishing whom you contract with and distinguishing package travel, linked arrangements and separate bookings. Your Europe explains that applicable protection depends on how the booking is organised, rather than simply a website using the word “package”.

Ask for clear identification of the organiser, agency and service providers, alongside pre-contract information and terms. Check insolvency protection where applicable and who handles an incident. For a specific dispute, consult official guidance or a consumer adviser.

Read change and cancellation terms before paying

Check payment dates, penalties, amendment conditions and what would happen if an essential service could not be supplied. If insurance is offered, read its cover, exclusions and limits. A product name does not establish cover for every cancellation reason.

Make a decision you can explain

Build a table with the agency, inclusions, total, terms and unresolved questions. Choose once you can explain why one proposal fits better. This guide does not certify agencies or guarantee an activity’s safety or quality; it provides a method for comparing information you can verify.
