Invoicing and payroll software: what to compare before choosing

Invoicing and payroll software: what to compare before choosing

Invoicing and payroll software can reduce repetitive work, but it cannot automatically correct inaccurate data or guarantee every aspect of a company’s compliance. Start by understanding your current process and the checks you need to keep.

Invoicing and payroll perform different jobs

For invoicing, trace a document from preparation to the recording of payment. For payroll, identify who reports changes, validates calculations and authorises payment. An integration is useful when it avoids duplicate entry while keeping responsibilities clear.

Request a demonstration with concrete examples

Prepare fictional cases that resemble your work: a corrected invoice, a partial payment or a salary variable requiring approval. Ask the provider to show how a change is recorded, who can view it and what happens when information is missing. Do not use real personal data in a sales demonstration.

VERI*FACTU: consult the official explanation

The Spanish Tax Agency explains the compliance options for invoicing systems. VERI*FACTU sends invoicing records to the agency; the non-VERI*FACTU option has other requirements. Whether a product generates a PDF is not a sufficient comparison.

Confirm with your adviser which obligations and timetable apply to your business. Ask the provider for documentation covering the version you would purchase and the scope of its updates. This guide does not replace tax or employment advice.

Examples from Cegid’s catalogue

Cegid’s official pages present electronic invoicing solutions, including Cegid Yet, and payroll products including Peoplenet and Ekon XRP Nómina. These are options to investigate against your requirements; their inclusion does not establish suitability for every organisation.

A comparison checklist

  • Included functions and separately priced modules.
  • Connections to accounting and existing systems.
  • User permissions, change records and information recovery.
  • Initial migration, training and support during month-end processing.
  • Total cost, renewal and exit conditions.
  • Data export if you change provider.

Introduce the change with checks in place

Assign responsibility for validating the migration and compare a sample of results with previous records. Document problems and do not remove a check simply because a task is automated. The aim is less duplication and better follow-up, with professional review where needed.
