ZIP files on your phone: create and open an archive

You can create and open ZIP files on your phone using Files on an iPhone or Files by Google on Android. A ZIP lets you gather documents into one identifiable archive to send. Before sharing it, check the contents and confirm that the recipient accepts that format: some forms require individual PDFs.

Imagine signing up for a workshop and wanting to keep its programme, confirmation and materials list together. Instead of searching for three attachments across separate conversations, you can prepare one clearly named package. Choosing the right files matters more than reaching the Compress button as quickly as possible.

Prepare the documents before making the archive

Make a working folder or locate the files you want to group. Open each one and check that it is the version you mean to send. If your documents are still on paper, our guide to scanning with your phone and saving a PDF covers that earlier step; the ZIP comes afterwards.

For the workshop example, you could use:

  • 01_programme.pdf: the workshop schedule and content.
  • 02_confirmation.pdf: the confirmation document you want to keep.
  • 03_materials.jpg: a picture of the materials list you received.

This is an organising suggestion, not a rule of the file format. Numbers make the set easy to check, but each name should still explain what the file contains. Remove drafts and duplicates from your selection before making the archive.

Create and open a ZIP on an iPhone

Apple’s instructions are to open Files, choose a location, tap More → Select, select the files and use More → Compress. The ZIP is saved in that folder. Several files produce Archive.zip; touch and hold it and choose Rename to change the name.

To open it, find the ZIP in Files and tap it. A folder containing its files is created; open that folder to inspect the documents. These steps describe Apple’s app, rather than every file manager.

Create and extract a ZIP with Files by Google

Google’s compression instructions for Files by Google require Android 8 or later. Select files or folders, choose More → Compress and enter a name without spaces or periods; the app adds the ZIP extension. In our example, october_workshop identifies the package without typing the period in .zip into that name field.

To extract the archive, find and select the ZIP, then tap Extract → Done. Its files are saved alongside the original. Leave Delete ZIP file unchecked until you finish reviewing them. Files by Google supports ZIP for this extraction; do not assume another archive format will work.

Check the contents before sending

A small check now can avoid a later message saying that the second document is missing. Open the archive you have made and compare its contents with your original list:

  1. Count the expected files. Our example has three. If you included a folder, inspect what is inside it too.
  2. Recognise the names. Check that you did not select an old copy with a similar name.
  3. Open the extracted documents. Look through the PDF pages and image rather than checking only their icons.
  4. Check the destination. For a website upload, read its accepted formats. For a person, confirm that they can open a ZIP.
  5. Select the final archive. Read the attachment’s name before sending: the test folder and the ZIP are different items.

Keep the originals during this check. If someone sends you an archive with unclear file names, ask what it should contain instead of trying to guess which document matters.

A ZIP may not make the files much smaller

Microsoft notes that JPEG images are already highly compressed, so putting them in a ZIP can leave the overall size similar. Saving megabytes is not the only possible aim; a recognisable package can be useful in its own right.

Compare the actual ZIP size with the destination’s limit. If it is still too large, agree on another delivery method or prepare smaller groups. Avoid sending ten archives without explaining the order or what each one contains.

When a step does not work

The Compress option is missing

Check which app you are using and return to that app’s instructions. An Android phone does not mean every file manager has the Files by Google menu. Note where you were and what you selected so you can describe the problem accurately.

Extraction gives an error

Google identifies full storage as a possible cause. Check the space and exact message before trying again. If you decide to clear photos, verify their backup first. Do not delete your only originals just to finish extracting an archive.

Someone asked for a PDF. Should I send the ZIP?

Read the request again. An archive groups files; it does not automatically replace the document or format the recipient asked for. If they need one specific PDF, extract it and select that document.
