A CRM organizes information and work around customers and opportunities. Choosing one requires more than a “best software” list: check whether it fits your sales process, who will administer it and what it will cost to maintain. This revisits the five options in our old 2024 selection without presenting them as a tested ranking.
Five options and a question for each
- Salesforce: its sales catalogue distinguishes editions and add-ons. Ask which automations and integrations are included in the proposed package.
- HubSpot: combines Smart CRM with products for different functions and at different tiers. Check the actual plan limits; free tools do not make the whole platform free.
- Microsoft Dynamics 365 Sales: runs on Dataverse and Power Apps model-driven applications. Check the fit with your configuration and the required licenses.
- Oracle Fusion Sales: belongs to Oracle’s customer-experience offering. Request a demonstration of your process and an implementation proposal.
- Zoho CRM: publishes an edition-by-edition feature comparison. Match your requirements against that table as well as the starting price.
A trial that supports a decision
Create a fictional end-to-end example: an inquiry arrives, someone is assigned, a call is scheduled, an opportunity is created, and it is won or lost. Run the same sequence in each shortlisted product. Add a deliberate duplicate and see how it is detected and resolved.
Then test an everyday need that demonstrations can overlook: changing the owner, producing a clear report or exporting the records. Evaluate the configuration effort and who could maintain those tasks afterwards.
Calculate the complete cost
Compare the same user count and time period. Separate subscriptions, setup, migration, training, integrations and support. Ask which limits trigger extra charges and what renewal and exit involve. Obtain the total in writing before committing.
What has changed since the old article
Universal claims such as “ideal for every small business”, “perfect for Microsoft users” and “best value” have been removed. We did not conduct comparative product testing. The list retains the names as research starting points and adds an evaluation process; it does not promise commercial results.
Should a trial use the entire customer database?
Start with fictional data and a limited process. Decide afterwards which information a real migration needs and who will review it.
